Job Description

Purpose & Accountabilities

Accountable for providing effective pensions management support and services to Pension Fund Managers, local Trustee Boards and Sponsor companies for Asia Pacific region. Activities will entail management of the overall day-to-day activities for assigned country pension plans, including oversight of service providers on behalf of the local Trustee Boards in line with agreed service level agreements (SLAs), maintain framework of control for Pension Funds in accordance with Group guidelines and policies. Role also acts as the controller and main reporting focal for the cost reporting, portfolio performance monitoring of pension plans.

In scope country pension plans within the region are: Australia, New Zealand, Brunei, Philippines, Singapore, Hong Kong, Thailand, Pakistan, India, China, Korea, Indonesia, Japan, Taiwan, Malaysia, and others to be assigned as local developments may require. Group Pensions is a function under the Shell Finance Treasury organisation.

This is a developmental role open to individuals with generalist Finance or Finance business partnering backgrounds. Depending on your competences and aptitude, there is opportunity to progress into a broad range of Finance roles within the wider Shell organisation in future.

Principle Accountabilities


  • Organise and effect the outsourcing and transfer of pension activities to third parties service providers in line with pension fund outsourcing guidelines where applicable

  • Responsible for effective execution of contracts for outsourced activities, including contract reviews and renewals

  • Key contracts focal and liaison between external service providers and internal HR and finance teams for day-to-day activities

  • Supervise service contract compliance per agreed service levels and established benchmarks & assist PFM in regular performance appraisal exercises

Develop and maintain control framework for relevant pension funds according to Group Pensions (GP) best practices including record management, contract and procurement guidelines.

Fund Accounting, Investments and General Activities:

  • Work with local HR & external service providers on activities that cover sponsor contribution; cash flow forecast; benefit payments & fund expenses

  • Prepare annual pension fund cost budgets for Trustee’s approval

  • Organise quarterly cost recovery of Group Pensions services for various country pension funds or Sponsor companies in accordance with agreed service level agreement between Group Pensions and serviced countries

  • Work with investment managers and/or custodians on regular investment performance reporting; effective asset investment / divestment process and proper asset rebalancing where applicable

  • Work closely with fund administrators, actuaries and auditors on quarterly management account and year end accounts preparation; IAS 19 accounting valuation and annual external audits

  • Oversee preparation of annual regulatory and government filings in a time sensitive manner

  • Assist Pension Fund Managers (PFMs) on internal pension fund audits where required

  • Assist PFMs in preparing materials for regular investment committee and Trustee Board meetings

  • Increase efficiency by identifying continuous improvement to current processes and ways of working

  • Key lead in coordinating Group led initiatives and projects on reporting or system upgrades

Record Management & Management Information System (MIS):

  • Ensure regular upkeep of pension fund records including trust deeds, benefit regulations, meeting agenda & minutes, actuarial reports, quarterly MIS reports, audited financial statements, and other key pension fund documents, within the Group Pensions data repository system

  • Ensure compliance with records management policies/procedure, in keeping Group Pensions MIS updated


  • Finance professional with a degree in Finance, Economics, Accounting, Business Administration

  • Minimum 3-5 years of relevant working experience in Finance, Accounting or Pensions function

  • Experience in investment management, banking, insurance, pension fund management, pensions consulting, or treasury will be valuable

  • Fluent English is required, additional languages in the East Region will be an advantage

  • Excellent written and oral communication skills

  • Detail oriented

  • Ability to develop and maintain effective relationships with internal clients and external service providers

  • Structured, methodical approach to work, strong work planning/implementation skills

  • Independent, self-starter, ability to balance multiple priorities to meet key deadlines

  • Collaborative, strong team lead / player skills

  • Experience of working in global, virtual and multi-cultural teams

  • Contract management experience desirable

  • Proficient in Word, Excel and PowerPoint
