Position

JOB DESCRIPTIONS

  1. General Duties
  • Diary management

  • Setting up meetings internally and externally

  • Collating and preparing action points arising from meetings

  • Typing reports and correspondence.

  • Sorting and distributing incoming mail, faxes and e-mail.

  • Maintaining current and up-to-date wholesaler and direct customers database

  • Organizing airline bookings for all international travel for the wider team

  • Dissemination of company information to staff as required by HR

  • Co-ordination of visitors' program including all hotel and transportation arrangements.

  • Typing and compilation of presentation reports.

  • Collation and preparation of Expense report for General Manager

  • Adhoc projects as required by the General Manager

  1. Office Administration
  • In coordination with MHAP Singapore to manage the maintenance of the Company's business machines in conjunction with the relevant Manager, for example, computers, printers, photocopier and fax machines as well as stationery.

  • To work with HT to ensure all Health and Safety in the workplace and legal requirements in the office are followed

    Profile

QUALIFICATION, EXPERIENCE & SKILLS REQUIRED

Education:

  • Education - PSC / Diploma level

Languages:

  • Fluent in English. Mandarin is a plus

Professional experience & know how:

  • Preferably at least 2 years' experience in similar job

Technical & management skills:

  • Ability to prioritise, plan work and daily schedule

  • Discreet and able to manage confidential information

  • IT literate (Powerpoint & Excel proficient)

  • Ability to make decisions when necessary

  • Ability to represent supervisor when he is away

  • Ability to co-ordinate functions and events

  • Ability to stay calm and be on top of things

Personal & interpersonal skills:

  • Ability to work under pressure

  • Good interpersonal skills - both at management level and subordinate level
