Job Description

Responsibilities

  • Calendar management
  • Scheduling, organizing and coordinating internal & external meetings/ conference call/ events
  • Attending meetings if minutes is required
  • Handling traveling and entertainment claims
  • Issuing office passes for all visitors
  • Handling of incoming and outgoing mails.
  • Coordinate the printing of business cards for all staff.
  • Coordinate and liaise with reception & respective suppliers on delivery of replenishment of office supplies
  • Manage procurement of stationery / IT requests
  • Maintain and monitor department leave records and travelling, e.g. annual/sick/urgent leaves etc…
  • Provide logistic and administrative support for the various meeting and presentation such as sourcing for venue, preparing presentation materials, standby of LCD projector and other equipment required
  • Perform any ad hoc tasks as and when assigned to
  • Provide coverage in the absence of other Personal Assistants
  • Act as point of contact when comes to booking of meeting rooms/Video & Tele-conferencing

Requirements

  • At least 8-10 years of secretarial and administrative experience
  • Experience within the insurance industry would be advantageous
  • Independent, proactive, efficient with a sense of urgency to accomplish assigned tasks
  • Meticulous, good organizational skills and able to multi-task
  • Adaptable/ flexible to respond to changing requirements & schedules
  • Excellent communication and interpersonal skills
  • Pleasant and positive personality, assertive, self-starter and able to work independently
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint)
