The Commercial Software Engineering team is seeking an experienced Executive Business Administrator to support our General Manager, Srikanth Raju and the CSE Regional Team.
A successful candidate has the ability to effectively manage a high and time sensitive workload with a calm, confident and positive attitude, ability to work independently, deal with ambiguity and has a passion for making managers and organizations great. This position requires someone who has excellent communication skills, possesses the ability to set priorities, handle multiple time critical tasks simultaneously and run the team in a structured efficient manner. This role requires superior complex calendaring skills, Microsoft Office skills, operational excellence, an efficient use of business systems and the ability to collect, analyze and report on data.
Responsibilities
Responsibilities include (but are not limited to):
Executive calendar management. Proactively manage a very complex calendar including travel and strategic prioritization of appointments
Demonstrated diplomacy, ability to interface with a variety of executive levels in a smooth and polished manner
Ramp up quickly on the CSE business, take detailed notes in meetings, synthesize into clear action items, and follow up on completion
Partner closely with CSE Asia Regional Business Operations Director on day to day prioritization and long-term priorities and projects
Expected travel 5%
Ability to prioritize own work and resources to complete projects on time and to solve problems effectively
Evening and weekend check for calendar changes
Ability to look ahead and understand the prioritization of key objectives and help manage the deliverables or priorities
Provide end-to-end complex domestic and international travel planning, including proactive understanding and adjustments of ROB meetings in tandem with impromptu external conferences and speaking engagements to drive schedule efficiencies
Help drive the ROB scheduling and team calendar items; including All-Hands, Sync Weeks, MBRs, off sites and team morale events
Deep understanding of the team budget including auditing and completing Purchase Orders and expenses
Managing vendor accounts and space needs
Collaborate with the CSE business partners and Admin team on OPEX budget and headcount management
Submit facilities requests, manage aliases. Manage Microsoft Teams sites and support new hire onboarding
Manage office hardware and supply needs
Qualifications
Qualifications should include:
5+ years of experience supporting an executive at Microsoft or working in an external fast-paced environment
Proactive in anticipating executive’s needs and able to work independently to make administrative decisions and requests for information on behalf of the executive
Strong project management and office management skills including budget management, calendaring and understanding of the business to help the decision-making process
Ability to work well in a changing environment, under pressure, on short-notice, and take appropriate action
Adaptable and must work successfully in a team environment, building and maintaining effective working relationships with a diverse group of internal and external contributors
Must maintain confidentiality of highly sensitive material and information with discretion and professionalism
Excellent organizational, analytical, anticipatory, and written communication skills
Proficiency with MS tools - HeadTrax, MSExpense, My Order, MS Approval, MS Travel,Manager Self Service (MSS), MSSpace and Informa. etc.
Proficiency with O365 – Word, Excel, PowerPoint, OneNote, Power BI
BA/BS degree preferred.
